Frequently Asked Questions

What types of activities can be scheduled in LorisQ?

Any recurring activity related to your equipment, whether performed internally or by external service providers. This includes calibration, qualification, validation, internal checks, cleaning, and similar activities. You can also define custom activity types tailored to your organization and equipment.

What does LorisQ send notifications for?

LorisQ sends notifications for events that require attention in equipment management. This includes upcoming or overdue calibration and maintenance activities, documents awaiting review or signature, and instruments that exceed defined tolerance limits.

When an external calibration provider uploads and approves a certificate, LorisQ immediately checks your defined tolerance limits and notifies you if they are exceeded. Providers do not need to know your internal tolerance settings.

We use both internal and external service providers for our equipment. How does that work in LorisQ?

LorisQ uses the same workflow for both internal and external services. Activities, responsibilities, approvals, and records are handled in the same way, regardless of who performs the work.

For external services, certificates and reports can be uploaded directly by service providers via secure email uploads. This keeps your equipment records up to date without requiring you to manually upload or link documents yourself.

How does collaboration with external service providers work if they don’t use LorisQ?

External service providers do not need LorisQ accounts. When a calibration or service activity is due, LorisQ provides a secure, email-based upload option for certificates and reports. Providers simply send the documents by email, and they are uploaded and routed for approval in your system.

This allows you to work with any provider, without requiring them to register, log in, or change their existing processes.

I currently manage my equipment in Excel or another system. How can I transfer my data to LorisQ?

Instruments can be added manually using the setup wizard or imported directly from Excel. Existing certificates, reports, and manuals can then be uploaded and linked to each instrument.

Historical calibration trends become available once past calibration certificates are uploaded and the relevant data is entered.

What is the difference between calibration trend graphs and regular graphs in LorisQ?

LorisQ provides two ways to track trends.

Calibration trend graphs are predefined for common categories of measuring instruments, such as balances/scales, thermometers, micrometers, and similar equipment. They automatically visualize key calibration parameters based on approved certificates. When calibration certificates are uploaded by external service providers, calibration trend graphs are updated automatically, without any manual work by the user.

For all other cases, the Graphs feature allows you to track any parameter for any instrument. You decide what to visualize, independent of instrument category or predefined templates.

This approach keeps standard calibration trends simple and automated, while still allowing full flexibility for any instrument.

Why are correction graphs and calculators available only for some instrument categories?

Correction graphs and calculators are currently available for thermometers, (thermo)hygrometers, and hydrometers. These instruments are widely used, and applying corrections can provide clear and practical improvements in measurement accuracy.

For other instrument categories, LorisQ supports full equipment management, calibration records, and trend analysis. The Corrections feature is applied where it brings the most value in everyday use, and additional instrument categories may be added over time.

What does LorisQ show in each instrument’s history record?

Each instrument’s history record contains a complete trace of changes and actions related to that instrument. This includes updates to identification data, certificates, reports, manuals, QBook notes, tolerance limits, warnings, and maintenance activities.

Each entry includes who performed the action and when, providing full traceability.

Are all team members in a LorisQ account equal?

No. LorisQ supports role-based access. Team members can be assigned as managers, supervisors, or technicians.

Managers configure system settings and manage roles. Supervisors can review and approve documents, along with managers. Technicians can perform operational tasks but cannot change settings or approve documents.

Can I export or print data from LorisQ?

Instrument lists can be exported to Excel, including instrument data and scheduled activities, completed activities, and an activity plan.

Individual instrument cards are not exported as standalone documents; they are designed to be used and reviewed directly in the system, where all related data, documents, and history remain connected.

Can I use LorisQ on a smartphone or tablet?

Yes. LorisQ can be used through a web browser on smartphones and tablets. The interface is optimized for browser-based access, and no separate mobile app is required.

What is LorisQ’s Data Security and Integrity Policy?

LorisQ is designed to ensure the security, integrity, and availability of all user data, including credentials, documents, and instrument records.

Access to LorisQ is protected by user authentication and role-based access control. Passwords are securely hashed, sessions are protected against unauthorized access, and users can only access data within their own organization.
